What is an export packing slip?
An export packing slip describes the physical contents of a shipment. A detailed export packing list may additionally require package-level information. This document supports cargo checking and does not replace a commercial invoice.
ExportPapers creates general, editable shipping documents. Check the final document against destination customs, your broker and your carrier’s requirements before shipping.
Carrier-compatible fields do not make a document an official carrier form. ExportPapers is not affiliated with FedEx, DHL or UPS.
- 01
Match the exporter, receiver and document reference to the commercial invoice.
- 02
Describe each packed product and record its quantity and unit. Use separate rows when package marks differ.
- 03
Enter carton marks and dimensions. Line net and gross weights are row totals in kilograms, not single-unit weights.
- 04
Enter the total number of packages once, reconcile the item quantities with the invoice, and check whether the forwarder needs a carton-by-carton list.
Your field checklist.
| Field group | What to enter | Check before sending |
|---|---|---|
| Document header | Number, date, currency, export reason | Use a traceable reference and the correct currency. |
| Exporter, receiver & importer | Legal names, full addresses, countries, phone, email and relevant tax IDs | Identify the importer separately if different. |
| Route & terms | Origin, destination, Incoterm, named place and payment terms | Origin is not always the country of dispatch. |
| Goods | Specific description, verified HS code, quantity, unit and manufacture country | Include material and purpose where relevant. |
| Packages & weights | Package count, marks, dimensions, line net and gross kg | Reconcile with physical cartons and transport records. |
| Declaration & signature | Accurate statement, authorized name and position | Confirm wording, endorsement and signature requirements. |
Small omissions.
Avoidable delays.
These issues can prompt questions or corrections. Acceptance depends on the actual shipment and destination.
- Package counts are confused with the quantity of individual products.
- Gross weight excludes packaging or falls below net weight.
- Package marks do not match the actual cartons.
- A simple packing slip is used where the forwarder needs a detailed package-level manifest.
A few things
worth knowing.
Is this a travel packing list?+
No. This template is for goods in an export shipment, including product quantities, carton marks, dimensions and shipment weights.
Does the packing slip show prices?+
The packing-slip preview and downloads omit prices. Invoice templates retain value fields for customs and commercial purposes.
What is the difference between net and gross weight?+
Net weight is the goods’ weight. Gross weight includes their packaging. Use the same weight basis and units throughout your shipping documents.
Can a packing slip replace a commercial invoice?+
No. The packing document describes physical contents; the commercial invoice records the transaction and valuation information.
